Plain-language explanation of what we hold about children, families and staff — and why.

Who we are
- Little Sprouts is childcare software used by nurseries and daycares to run their day: attendance, daily logs, photos, messages, health records and billing.
- Your nursery decides what information is entered and who may see it. We store and process that information on their behalf.
Information we hold
- Child details: name, date of birth, photo, classroom, allergies, medical and vaccination notes.
- Family details: guardian names, email, phone, pickup permissions and billing records.
- Staff details: name, email, role and the branches they work in.
- Daily records: check-in and check-out times, meals, naps, nappy/toilet notes, activities, messages and photos.
- Basic technical information needed to keep the service secure, such as sign-in times.
How we use it
- To show families their child's day and let them message the nursery.
- To help teachers record attendance, meals, naps and learning notes.
- To help management with enrolment, capacity, invoices and reports.
- To keep accounts secure and support the nursery when something goes wrong.
- We never sell your information and we do not use children's information for advertising.
Who can see it
- Parents see only their own child's information.
- Teachers see the children in the rooms assigned to them.
- Management sees the branches they are responsible for.
- Each nursery's information is kept separate from every other nursery's.
- Trusted service providers help us run the platform (secure hosting, email delivery and accounting through Zoho Books). They may only use the information to provide those services.
Keeping information safe
- Information is encrypted in transit and at rest, access is limited by role, and photos and certificates are kept in private storage that needs a signed link to open.
- We keep records for as long as your nursery needs them. When a child leaves, their records are removed after the nursery's grace period.
Your choices
- You can ask to see, correct or delete the information held about you or your child, and you can ask for a copy of it.
- Please contact your nursery first — they control the records. If they need our help, we will support them promptly.
